CONTRACT TERM: Fall Semester 2017 (Sept. - Dec. 2017), exact dates TBA

OVERVIEW
The 2019 Canada Winter Games Red Deer Host Society is looking to fill the position of Project Assistant.

In less than two years, thousands of our country’s best and brightest will set their sights on Red Deer as we host the 2019 Canada Winter Games. Up to 3,600 participants from across Canada, over 400 media, 500 VIPs, 500 officials and thousands of visitors will join us for the two-week event. Featuring 19 sports and numerous cultural events and festivals, the 2019 Canada Games will be the largest event in Red Deer’s history.


Working closely with other functional areas of the Host Society, the Project Assistant will support activities related to all areas of the business for the upcoming 2019 Canada Winter Games. These responsibilities will contribute to the mission of the 2019 Canada Games Host Society to deliver a life-shaping Games experience for all participants, our community, our province and our nation, which leaves a lasting legacy for athletic and leadership greatness.

DUTIES & RESPONSIBILITIES
Reporting to the Director, Venues and Support Services, the Project Assistant will be responsible for, but not limited to, the following:

Venues, Volunteers and Support Services:
Participate and support the inventory and usability assessment of look and signage items in storage
Assist with the coordination of the venue drawings process with a focus on the field of play for the 19 sports to complete version one with the City of Red Deer
Facilitate the gathering of the volunteer positions required at Games Time for all functional areas
Assist in the development of templates used for orientation and training Planning Leadership Volunteers
Assist in the preparation of request for proposals and quotes as per the procurement process, including needs analysis and fact gathering around possible providers
Assist in preparing for the receiving and delivery of items from the 2017 Canada Summer Games to the warehouse for the 2019 Canada Winter Games
Assisting in the needs assessment and Materials Management Warehouse logistics and process.
Assist in presentation preparations around the venue management model, venue development and venue over lay timelines
Assist in compiling venue specifications and space standards for all venues being used for the Games
Performing duties relating to records management including filing, indexing, file retrieval both electronic and hard copy
Assist in booking and meeting preparations
Other duties as assigned

REQUIRED SKILLS, EXPERIENCES AND ABILITIES
Diploma or degree (or working towards) in Office Administration or Sport and Recreation Administration/Management related programs or equivalent.
Ability to multi-task, meet tight time-lines and work well under pressure
Excellent time management and organizational skills
Work independently, as well as part of a team
Excellent communication skills, both oral and written
Good decision making skills
Interpersonal skills, tact and diplomacy
A keen eye for detail, a passion for exceeding expectations
A “can do” attitude and willingness to pitch-in where needed
Previous experience working or volunteering in the sport or entertainment industry is an asset
Experience with Google’s G Suite programs, Gmail, Docs, Slides, Calendar, etc. (or equivalent Microsoft Office programs) is required.
Bilingualism (French and English) is an asset

CONDITIONS OF EMPLOYMENT
While hours of work are 8:00 to 16:30, Monday to Friday, the candidate may be required to work varied hours as needed, including occasional evenings and weekends, to support the planning and delivery of the Games
Exact dates of the contract term may be negotiated with the successful candidate
