POSITION: Full Time Membership Coordinator
DEPARTMENT: Exhibitions & Program Development
REPORTS TO: Manager of Visitor Experience
HOURS: 37.5 hours/week
DURATION: 20 weeks
MANDATE: THEMUSEUM is seeking a Membership Coordinator who will be responsible for dealing with all membership and visitors communications.

OBJECTIVES:
Visitor Experience
• Follow current procedures to ensure successful opening and closing of THEMUSEUM and exhibits.
• Conduct procedural safety checks on THEMUSEUM floors and exhibits to ensure all is operating and functioning properly to facilitate safe and enjoyable interaction between visitors and exhibits.
• Report all maintenance and safety concerns to appropriate Facilities Department staff and complete maintenance reports as necessary.
• Listen to customer complaints and ideas, take necessary action and forward all comments and concerns to appropriate staff.
• Maintain current knowledge about educational programs, exhibits, membership, special events, and other visitor related information.
• Enforce and comply with all THEMUSEUM’s Emergency Response Plan procedures and complete incident/accident reports as required.
• Greet all visitors of THEMUSEUM explaining the exciting things happening in THEMUSEUM and encouraging visitors to become a member
• Collect and analyze all data on visitors


Membership
• Responsible for all communications with members
• Ideally have email interaction with all members at least once a month
• Follow up with all new members within a day
• With guidance from the Senior staff create and improve membership packages and feedback surveys
• With guidance from senior staff create and deliver marketing materials to members and visitors
• Improve the amount of memberships by 10% though sales techniques and communications
• Supervise and train volunteers as required
• Assist with budgeting for membership

Special Events
• Assist with safe set up, clean up and take down of special events equipment and supplies.
• Promote THEMUSEUM and upcoming events/exhibits and membership to the public
• Provide assistance to the Special Events staff as required for event preparation.

Administration/Reporting
• Adhere to and maintain all THEMUSEUM’s Policies and Procedures as they pertain to the total job responsibility at all times.
• Liaise with Directors when developing new procedures to ensure overall strategic direction is met and organizational implications are considered.
• Assist with training of any new membership staff
• Support and assist in “Special Projects” as assigned.
• Assist with writing copy for marketing documents (website content, monthly calendar, etc.)
• Ensure all reports, i.e. meeting minutes, memberships reports and visitor reports are up to date and ready on time
• Participate in all required departmental meetings.
• Communicate all relevant information regarding THEMUSEUM procedures, expectations and services effectively with co-workers, visitors, public and peers as required.
• Follow all of THEMUSEUM’s Safety Policies and adhere to the Occupational Health and Safety Act; submit Incident/Accident Reports when required.
Information Management and Data analysis
• Collect all appropriate information for visitors and members
• Create reports and run analytics on information on members to improve member experience

Professional Development
• Attend all training workshops on request.
• Ensure Health & Safety training schedule is maintained and current.
• Stay current with all relevant industry information as it applies to the total job responsibility on an ongoing basis.
• Maintain a personal career growth track as negotiated with immediate supervisor annually.


QUALIFICATIONS
• Excellent organizational, time management, customer service, and verbal and written communication skills.
• Work well independently, but also be a strong team player.
• Must have the ability to work within set guidelines, policies and procedures.

HOURS: This position is a contract based position applicants must be available for full day weekday(s) and/or weekend shifts and occasional evening shifts.
