Job Description

Title: Office Manager

Seasonal. Monday to Friday 8:30am to 4:30pm. Overtime hours may be required. Time in lieu shall be given for overtime hours. This is a 16 week position paying $11.00/hour, starting April 24 - August 18.

Reporting: This position reports to the Recreation Director

Description Overview

The Office Manager is responsible for the day to day general office administration duties, such as answering of phones, taking registrations, and scheduling of fields. The Office manager will have a good understanding of the online registration system (ActiveNet). The Office Manager will coordinate the recreation office staff schedule. The Office Manager will assist the other recreation staff in the promotion and registration of all recreation events.

Specific Duties and Responsibilities

a) To be a strong team player.

b) To attend weekly internal meetings when possible.

c) To be responsible for ballfield booking.

d) To be responsible to update the Recreation Calendar on the Municipal website.

e) To assist with the recruitment of coaches and officials.

f) To update code of ethics for parent and coaches.

g) To assist in development of a summer brochure for the Recreation events

h) To be innovative.

i) To be able to recruit volunteers when necessary.

j) To be able to effectively use the recreation online registration system “ActiveNet”.

k) To assist with the administration and promotion of recreation programs and events.

l) To deal with the public in a professional manner.

m) To assist the Sport Program Coordinator with the distribution and coordination of Jerseys and equipment.

n) To be responsible for the jersey deposits.

o) To ensure that South Shore is updated and to promote this website.

p) To deal with the public in a professional manner.

q) To update registrations forms and other resources as necessary with the assistance of the Director of Recreation Services.

r) To perform other duties as required.

Qualifications: Must be enrolled in a University or Community College program in Office Administration or Information Technology. Good organizations, leadership and communication skills are required. Good IT skills are required and preferably knowledge of Microsoft Word, Excel and Publisher. The candidate must be fluently bilingual in both French and English. Should have a valid Driver's License. Must be between 16 and 30 years of age.

Characteristics of the Region

The Municipality of Argyle’s (Par-en-Bas) population of 9000 is 65% of Acadian descent, with Acadian French being spoken in most communities. There are four French schools here that are part of the Conseil scolaire acadien provincial. The neighbouring town is Yarmouth, which is primarily English. Adjacent to Yarmouth is the Municipality of Clare which has a very similar population to Argyle’s with 85% of the residents being of Acadian descent. Together, these two municipalities make up the largest Acadian population in all of Nova Scotia. Pubnico (which is in the Municipality of Argyle) is actually the oldest region still Acadian in all of North America being the only community where Acadians returning after the deportation were given special permission to reclaim their original lands. It is one of the oldest communities where a very large percentage of the population can trace back their ancestry to the original founder, Sieur Philippe Mius d’Entremont.
